How to Apply

Financial Aid Application Procedure

The financial aid application is a federal form.  The only way to apply is at the federal website which is www.fafsa.ed.gov

  1. Do you have a pin number?  If not go to www.pin.ed.gov and apply for a pin number.  The pin number will arrive in 5 to 10 days.  This will act as your signature.  Put your pin number in a safe place as you will use this when you reapply for financial aid next year.
  2.  Are you over 24, supporting a child, married, a Ward of the Court or a Veteran?  If the answer is no to all 5 questions, you need to provide parental data- make sure one of your parents also applies for a pin.
  3.  Are you a first time applicant for financial aid?  If so go to www.fafsa.ed.gov.  You will need your tax returns to apply for financial aid.  Once you are ready to begin the application look under “Step 2” and click on the link- Fill out a FAFSA to begin.
  4. Did you apply for financial aid last year?  If you did, you do not need to complete an entirely new FAFSA.  Make sure you have your pin numbers and your tax returns in front of you.  Go to www.fafsa.ed.gov.  Look under step 2 and click on Fill out  a FAFSA to begin.  During the process you will be given the opportunity to update your information from the previous year.

Helpful hints for the FAFSA

  1. Make sure all social security numbers, date of births and name spellings are accurate-  If they are not, your FAFSA will not be processed.
  2. Make sure you include your parents’ and/or steparents’ data if required (see 2 above).  Without this information, your FAFSA will not be processed.
  3. Make sure you list QVCC- school code 010530- as the school to receive the information.  If QVCC is not listed, we will not get your financial aid information.
  4. Make sure you complete the FAFSA fully and then click on the button to “Submit my FAFSA Now.”  You will get a confirmation code that your FAFSA has been submitted.  Make sure you write the confirmation number down.
  5. We will receive your FAFSA approximately two weeks after you apply.  Make sure that you are in a financial aid eligible program at QVCC.  In addition, keep your tax returns in a safe place.  If the federal government selects you for verification, you will have to provide a copy of your tax returns to our office.  You can always monitor your financial aid through your mycommnet account at www.my.commnet.edu.  There you can find out what your award is and any additional documents you may need.

Selected for Verification?

If you have been selected for verification you need to submit certain documents to us in the financial aid office before we can process your financial aid.  Verification is a normal process.  The federal processor selects about 40% of all applicants for verification.  It is possible to be selected for verification each year.

Verification Worksheet (.pdf)

  1. You will need to submit a copy of your federal tax returns.  State tax returns are not required.  Make sure your tax return is signed.  If you submitted a:
    1. 1040EZ-  simply copy the one page return, make sure it is signed and submit.
    2. 1040A- simply copy the two page return, make sure it is signed and submit.
    3. 1040- Copy the first two pages and make sure it is signed.  Also copy and submit schedules C, D, and E
  2. You will then need to complete the verification worksheet.
    1. Make sure you list everyone in your household.
    2. Indicate if you received any state benefits- SSI, Food stamps, free or reduced lunch, TANF or WIC.
    3. Remember to list any untaxed income for your family.  Common sources include child support, Social Security (untaxed), welfare benefits, payments to a 401(k) or 403(b) plan, and housing, food or other living allowances paid to members of clergy, military or others.  You need to make sure you list the amount received for each category.
    4. Sign the verification worksheet and have one parent sign if you are a dependent student.
  3. It is possible that we may need additional information from you.  After reviewing your tax forms and verification worksheet, we will notify you if we need more information.  If no other information is needed, you will be awarded financial aid if you are eligible.  The two most common reasons we may need more information are:
    1. You are required to submit asset information and did not do so on your FAFSA application.  You will be required to submit an asset verification worksheet.
    2. You indicated no visible means of support.  You will be required to complete a verification of living expenses form.
